This Privacy Policy explains how QBooking.ai (“QBooking,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you use our websites, booking pages, owner applications (web, iOS, and Android), and related services (together, the “Services”). By using the Services, you agree to the practices described here.

1. Who we are and our roles

QBooking provides software that lets salons and beauty studios (“Salons”) publish online booking pages, schedule appointments, manage staff, send notifications, and accept payments. Clients (“Clients”) use those booking pages to book appointments.

For information about our own visitors, account holders, and Salon users, QBooking acts as a data controller. For personal information that a Salon collects from its Clients through our platform, the Salon is the controller and QBooking acts as a data processor / service provider, handling that information on the Salon’s behalf.

2. Information we collect

We collect the following categories of information:

  • Account information — name, email address, phone number, role, and login credentials for Salon owners and staff.
  • Salon & business data — salon name, address, hours, services, pricing, staff schedules, and branding you provide.
  • Client booking information — name, phone number, email, appointment details, and notes submitted when booking an appointment.
  • Payment information — payments are processed by Stripe. We do not store full card numbers; we receive limited details such as payment status, amounts, and the last four digits.
  • Device & notification data — push notification tokens, device type, and app version used to deliver notifications.
  • Usage & technical data — IP address, browser/device information, pages viewed, and actions taken, collected via logs and cookies or similar technologies.
  • Communications — messages you send us for support or inquiries.

3. How we use information

  • Provide, operate, and maintain the Services, including booking, scheduling, and payments.
  • Send transactional messages such as booking confirmations, reminders, and account notices via SMS, email, and push notifications.
  • Authenticate users and secure accounts (including one-time verification codes).
  • Process payments and generate invoices through our payment provider.
  • Improve, personalize, and develop the Services and analyze usage and performance.
  • Provide customer support and respond to your requests.
  • Detect, prevent, and address fraud, abuse, security, and technical issues.
  • Comply with legal obligations and enforce our terms.

4. Legal bases for processing

Where required (e.g., under the GDPR), we rely on the following legal bases: performance of a contract; our legitimate interests in operating and improving the Services; your consent (which you may withdraw at any time, for example for marketing messages); and compliance with legal obligations.

5. How we share information

We do not sell your personal information. We share information only as described below:

  • With Salons — booking information you submit is shared with the Salon you book with so it can provide its services.
  • Service providers — we use trusted vendors to operate the Services, including Stripe (payments), Twilio (SMS), Google Firebase (push notifications), and Amazon Web Services (hosting and email). They may process information only on our instructions.
  • Legal & safety — when required by law, regulation, legal process, or to protect the rights, property, or safety of QBooking, our users, or others.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

6. Data retention

We retain personal information for as long as needed to provide the Services and for legitimate business or legal purposes, such as maintaining transaction records. When information is no longer needed, we delete or de-identify it. Salons are responsible for managing the retention of their Clients’ data within the platform.

7. Your rights and choices

Depending on your location, you may have rights to access, correct, delete, or export your personal information, object to or restrict certain processing, and withdraw consent.

  • Account deletion — Salon owners and staff can permanently delete their account and associated personal data directly in the owner app (User menu → Delete account), or by emailing us.
  • Marketing opt-out — you can opt out of non-essential messages using the unsubscribe or reply-STOP instructions in the message.
  • Clients who booked with a Salon should contact that Salon to exercise rights over their booking data; we will assist the Salon as needed.

8. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. International data transfers

We operate in the United States and may process and store information there and in other countries. Where we transfer personal information across borders, we use appropriate safeguards as required by applicable law.

10. Children's privacy

The Services are not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from them. If you believe a child has provided us information, please contact us so we can delete it.

11. Cookies and similar technologies

We use cookies and similar technologies to operate the site, remember preferences, and understand usage. You can control cookies through your browser settings; disabling some cookies may affect functionality.

12. Third-party links

Our Services may link to third-party sites or services that we do not control. This Policy does not apply to those third parties, and we encourage you to review their privacy policies.

13. Changes to this Policy

We may update this Policy from time to time. We will post the updated version with a new “Last updated” date and, where appropriate, provide additional notice. Your continued use of the Services after changes take effect constitutes acceptance.

14. SMS / text messaging program

QBooking sends transactional text messages, including one-time verification codes for login and account security, and appointment notifications and reminders. You opt in by entering your mobile number on our login, registration, or booking forms and requesting a code or booking an appointment.

  • Message frequency varies based on your activity (for example, each login or booking).
  • Message and data rates may apply.
  • Reply STOP to any message to opt out, and HELP for help. You can also email info@qbooking.ai.
  • Carriers are not liable for delayed or undelivered messages.
  • We do not share mobile opt-in information or the phone numbers collected for SMS with third parties or affiliates for their own marketing purposes. SMS-related data is used only to deliver the messages described above.
