qBooking.ai ("we", "us") provides an AI phone-ordering platform for restaurants: an AI agent that answers calls and takes orders, an online ordering storefront, order notifications, payments, and delivery dispatch. This policy explains what information we collect, why we collect it, and how we handle it — for restaurant operators using qBooking.ai and for their customers who call or order.
Information we collect
- Restaurant account data — business name, address, contact names, phone numbers, email addresses, menu content, hours, and configuration you provide when setting up your restaurant.
- Customer order data — the caller's or online customer's name, phone number, optional email, order contents, and delivery address when delivery is requested.
- Call recordings and transcripts — phone calls answered by the AI agent are recorded and transcribed so the restaurant can review orders and conversations.
- Payment information — card payments are processed by Stripe. Card numbers are transmitted directly to Stripe and never stored on our servers.
- Technical data — logs, device and browser information, and usage data generated when you use our websites and portals.
How we use information
- To answer calls, take and submit orders, and operate the ordering storefront.
- To notify restaurants of new orders by SMS, email, fax, and voice call, and to send customers SMS order confirmations.
- To process payments, dispatch delivery, and generate monthly invoices.
- To let restaurant staff review call recordings and transcripts of their own calls.
- To secure, troubleshoot, and improve the service.
Call recording
Calls answered by the AI agent are recorded and transcribed. Callers are notified that they are speaking with an AI assistant. Recordings and transcripts are made available only to the restaurant that received the call and to our operations staff for support purposes.
Sharing
We do not sell personal information. We share data only with the service providers required to run the platform — payment processing (Stripe), telephony and SMS (Twilio), fax and email delivery, delivery logistics (Uber Direct), and cloud hosting (AWS) — and only to the extent needed to provide the service. Each provider is bound by its own security and privacy obligations.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
SMS / text messaging
When you provide a mobile number to qBooking.ai — on our website, during a call with a qBooking.ai representative, or by texting us first — we may use it to send you conversational text messages related to your inquiry or account: replies from your sales or support representative, appointment and follow-up reminders, onboarding links, and order notifications for restaurants. Message frequency varies. Message and data rates may apply.
You can opt out at any time by replying STOP to any message; reply HELP for help. Phone numbers and opt-in consent collected for text messaging are used only to deliver those messages and are never sold, rented, or shared with third parties for their own marketing. Retention
Order records and invoices are retained for the life of the restaurant's account and as required for tax and accounting purposes. Call recordings and transcripts are retained so restaurants can review them; restaurants may request deletion of specific recordings at any time.
Your choices
- Customers may request a copy or deletion of their personal data by contacting us or the restaurant they ordered from.
- Restaurants can update or correct their business data in the owner portal at any time.
- Text messages: reply STOP to any message to opt out, or HELP for help. Order confirmations to customers are transactional.
Security
Data is encrypted in transit, access to production systems is restricted and logged, and payments are handled by Stripe under PCI DSS. No system is perfectly secure; if a breach affecting your data occurs, we will notify you as required by law.
Changes
We may update this policy from time to time. Material changes will be announced on this page with a new "Last updated" date.
